AFCEA NOVA WILL PROVIDE TO EXHIBITORS:

  • 110-120V power to your booth, and a power strip. (If you need additional power strips or extension cords, please bring them.)
  • An internet connection into your booth. (default is wireless, unless you tell us your application must have a hard-wired ethernet connection)
  • Tables
  • Chairs

EXHIBITORS ARE RESPONSIBLE FOR:

  • Any other equipment to be used at your booth.  (If you would like to rent any AV or other equipment from the hotel, we can put you in touch with the right person.)
  • Personnel to staff the booth
  • Security for your equipment and materials in the booth

LOGISTICS

  • Setup: Wednesday evening, December 9, 6PM  OR  Thursday morning, December 10, 6AM. (Please let us know which time you prefer to set up on your registration form.  There is no security overnight in the exhibit area so please do not leave anything at the booth that could be stolen.  Internet will be active Tuesday evening if needed.)
  • Conference Opens: 7am for Check-in, 8am for the Program
  • Conference closes: At the end of the reception (approximately 5pm).  Take down is when the conference closes
  • Staffing: Exhibit staff registration: Please have the staff that will be manning your booth register online via the conference website.  When they get down to payment method at the bottom of the reg form, just have them select, "Gov/Mil Exhibitor - Free of Charge".  Given the long day you may consider having more than one shift.
  • Booths should be staffed the entire day.  An exception can be made for the keynote speeches at the start and close of the conference.  Because most conference attendees will be listening to those keynote addresses, there is not a problem in having booth staff listen to them as well (but someone should keep an eye on any computers or other things that could be stolen from the booth if no one is there).
  • Peak traffic will be at breaks, and especially before and after the luncheon, when the main room is closed for resetting and all the attendees will be outside in the area of the exhibits.  The evening reception will also be an area of high activity
  • Cost: There is no cost for exhibiting.  The staff manning the booth is invited to participate in the food and beverages available throughout the day at no charge, but should stagger lunch so that the booth has coverage.
  • Audience: 70% of the audience will be Industry, 30% will be Government.   Industry attendees will be particularly interested in the major IT programs upcoming at your command and the contacts for them.  Handouts that would be very well received would be org charts with the key people identified and lists of upcoming programs.
